How do you Bulk Assign Devices in the Hub
Assigning devices one at a time works fine for a handful of units. When you are setting up dozens or hundreds of devices, the Bulk Email Assign Upload does the same work in a single file. You fill out one spreadsheet with the email, alias, and Device ID for each unit, then upload it to the Hub.
What is a bulk device assignment?
A bulk assignment lets you connect many devices to their users at once. For each device you provide the user's email address and the alias you want that device to show under. The alias is the name the device is identified by on the EVERYWHERE tracking map and in the app.
You also choose whether each user gets the automated EVERYWHERE email that prompts them to download the companion app.
Who can do this? Hub admins with access to the Resources and Reports tabs.
Step 1: Log in and download the template

- Log in to the EVERYWHERE Hub at www.everywhere-hub.com.
- Click the Resources tab.
- Download the Bulk Email Assign Upload CSV.

Step 2: Find your Device IDs
Every row in the template needs a Device ID. You have two ways to get them.
Option 1: Copy from the Hub

Open the general device settings for a device in the Hub. The Device ID is listed directly below the alias. This works well when you only have a few devices to assign.
Option 2: Download a Device Details Report

This is the faster path when you are working with a large group of devices.
- Click the Reports tab.
- Choose Device Details Report from the Report Type dropdown.
- Select the folder that holds the devices you want to pull IDs for.
- Click Download.
Step 3: Add the Device IDs to the template
- Open the Device Details Report CSV you downloaded.
- Copy the Device IDs for the devices you want to update.
- Paste them into Column C of the Bulk Email Assign Upload document.
Each Device ID gets its own row. Keep the IDs exactly as they appear in the report so the Hub can match them.
Step 4: Fill out the rest of the template

Complete the remaining columns for every row.

About Column D: Enter TRUE to send the user the automated EVERYWHERE email that prompts them to download the companion app. Enter FALSE if you plan to handle app setup another way, such as a training session or your own internal instructions.
Step 5: Save and upload the file

Make sure you have the completed template as a CSV so we can upload it into the Hub.

Click the check box of the folders you will be updatin

Click the up arrow in the upper right hand corner of the screen

Choose the saved Bulk Email Assign Upload document and then click OK.
Give the Hub a moment to finish, then spot check a few devices to confirm the new aliases and email assignments look right.
Tips and common issues
- Aliases should be easy to read in the field. Names, crew numbers, or vehicle IDs work better on a map than serial numbers.
- Check for typos in email addresses. A misspelled address means the user never gets the app invitation and the device stays unassigned to a real person.
- Only include rows you want to change. Delete any leftover sample rows from the template before you upload.
- Save as CSV, not XLSX. If you edit the file in Excel, use Save As and choose CSV so the format stays intact.
- Device IDs are not the same as the IMEI or the alias. Pull them from the device settings page or the Device Details Report so you know they are correct.
